Personal Information You Provide: The details we collect vary based on how you interact with us and our Services, the choices you make, and the features you use. The information may include:
- Name
- Email address
- Mailing address
- Organisation
- Country
Sensitive Information: We do not process any sensitive information.
1.1 AUTOMATICALLY COLLECTED INFORMATION
In short: Certain details, such as your IP address, browser type, and device characteristics, are collected automatically when you access our services.
When you visit, use, or navigate our Services, some information is gathered automatically. While this data does not specifically identify you (e.g., it doesn’t include your name or contact details), it may include technical and usage details, such as your IP address, browser and device information, operating system, language preferences, referral URLs, device name, country, location, and other usage metrics. This information is primarily used to ensure the security and smooth operation of our Services, as well as for internal non-personalized analytics and reporting.
Like many other organisations, we gather information through cookies and similar technologies.
The data collected includes:
- Log and Usage Data: This encompasses diagnostic, usage, and performance-related details automatically collected by our servers when you access our Services, which are then stored in log files. Depending on your interaction, this data may include your IP address, device information, browser type, and activity within the Services (such as timestamps, viewed pages, searches, and actions taken, like features used), as well as device events like system activity, error reports, and hardware settings.
- Device Data: We collect details about the device you use to access our Services, which may include your IP address (or proxy server), device ID, browser type, hardware model, operating system, internet provider or mobile carrier, and system configurations.
- Location Data: Information about your device’s location is also collected, which may be precise or general. The extent of this data depends on your device’s settings and the type of device used. For example, GPS and similar technologies may provide us with your current location (based on your IP address). You can choose to disable this collection by refusing access or turning off location settings on your device, but this may limit certain features of the Services.
1.2. INFORMATION GATHERED FROM EXTERNAL SOURCES
In short: We may gather limited information from public databases, marketing affiliates, social media, and other external sources.
We collect information from external sources such as public databases, marketing affiliates, social media, and partners. When doing so, we ensure that the data is obtained with appropriate consent and is used strictly within the intended purposes outlined in this policy. All such data processing activities are recorded and documented in accordance with our internal compliance procedures.
To improve our ability to deliver relevant offers and services, as well as to update our records, we may obtain information about you from sources such as public databases, joint partners, affiliate programmes, data providers, social media platforms, and other third parties. This may include details like mailing addresses, job titles, email addresses, phone numbers, intent data (or user behaviour data), IP addresses, social media profiles and URLs, and custom profiles, which are used for targeted advertising and event promotion.
When you interact with us via a social media account (e.g., LinkedIn, YouTube), we may receive personal information from these platforms, such as your name, email, and gender. Please note that the specific information we collect from your social media account depends on its privacy settings. Additionally, any use of your information by these platforms is governed by their own privacy policies.
2. HOW DO WE PROCESS YOUR INFORMATION?
In short: We handle your information to operate, enhance, and manage our Services, to communicate with you, ensure security and fraud prevention, and comply with legal requirements. We may also process your information for additional purposes with your consent.
We process your personal information for various purposes depending on how you interact with our Services, including:
- To manage subscriptions and communications: If you subscribe to our newsletter, we use your name and email to send updates, news, and relevant information through Mailchimp.
- To manage event registrations: We process your information to handle event registrations, confirmations, updates, and follow-ups, using third-party tools such as Infomaniak, Zoom, SurveyMonkey, and Google Forms.
- To request feedback: We may use your information to gather feedback and communicate about your experience with our Services.

3. ON WHAT LEGAL GROUNDS DO WE PROCESS YOUR INFORMATION?

This may include your consent, compliance with legal obligations, fulfilment of our contractual duties, protection of your rights, or pursuit of our legitimate business interests.
The processing of your personal information is based on legal grounds established under the General Data Protection Regulation (GDPR) and the Swiss Federal Act on Data Protection (LPD). Depending on your location and applicable laws, we rely on different legal bases for processing your information, including consent, legal obligations, contractual necessity, legitimate interests, and vital interests.
The General Data Protection Regulation (GDPR) requires us to clarify the legal bases we rely on when processing your personal information. We may rely on the following:
- Consent: We process your information with your permission for specific purposes. You may withdraw your consent at any time. See section “WHAT ARE YOUR PRIVACY RIGHTS?”
- Legitimate Interests: We may process your information to pursue our legitimate interests in order to pursue our mission, provided these do not override your rights and freedoms. For instance, we may analyse how users engage with our services to improve the user experience.
- Legal Obligations: We process your information when required to comply with legal responsibilities, such as cooperating with law enforcement, defending our legal rights, or providing information as evidence in legal proceedings.
- Vital Interests: We may process your information to protect your vital interests or those of another person, such as in situations involving potential safety threats.

We may need to share your personal information in the following situations:

- Organisational Transfers: In the event of a merger, acquisition, or sale of all or part of our organisation, we may share or transfer your personal information to the acquiring entity or as part of the negotiation process. In such instances, we will ensure that your personal information is handled securely and in accordance with applicable privacy laws.
5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?
In short: We use cookies and similar technologies to collect and store your information.
We may use cookies and other tracking technologies (such as web beacons and pixels) to gather information when you interact with our Services. These technologies help us maintain the security of our Services, prevent crashes, fix bugs, store your preferences, and support basic site functions.
5.1. COOKIE NOTICE
Our website uses cookies—small data files that do not harm your device. These cookies are either temporary (session cookies) or permanent (persistent cookies). Session cookies are deleted after your visit, while permanent cookies remain until deleted or expired.
Cookies can be first-party (set by us) or third-party (set by external services, e.g., payment processors). Third-party cookies enable integrated services like payments or analytics.
Some cookies are essential for the website to function. Others help analyze user behavior or serve targeted ads.
Cookies are stored based on legitimate interest for necessary functions or based on your consent for non-essential cookies.
You can manage cookie settings via your browser, including blocking or deleting cookies. Disabling cookies may affect site functionality.
5.2. CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers, mobile operating systems, and some mobile applications include a “Do-Not-Track” (DNT) setting, which you can enable to express your privacy preference not to have your online browsing activities tracked. Currently, there is no standard technology for recognising and implementing DNT signals, so we do not respond to DNT signals or any other automatic mechanism that communicates your preference not to be tracked online.
6. HOW LONG DO WE KEEP YOUR INFORMATION?
In short: We retain your information only for as long as necessary to fulfil the purposes described in this privacy policy, unless a longer retention period is required by law.
We will keep your personal information only as long as needed to achieve the purposes outlined in this privacy policy, unless a longer retention period is mandated or allowed by law (such as for tax, accounting, or other legal obligations).
If there is no ongoing legitimate reason to process your personal information, we will delete or anonymise it. If this is not possible (e.g., if the information is stored in backup archives), we will securely store your personal information and isolate it from further processing until deletion is possible.
7. HOW DO WE PROTECT YOUR INFORMATION?
In short: We have implemented technical and organisational security measures to protect your personal information.
We use administrative, technical, and physical security measures to protect your personal information. While we have taken reasonable steps to secure your personal information, please be aware that no security measures are perfect or impenetrable, and no method of transmission over the internet can be guaranteed to be 100% secure.
